Setting Up Webinar Registration with HubSpot Workflows
When setting up your webinar registration flow, you're not limited to using TwentyThree's registration pages and Collectors. You can seamlessly use HubSpot workflows to collect registrations from HubSpot forms, landing pages, and embeddable collectors.
Step 1: Connect TwentyThree with HubSpot
Before you start, make sure your TwentyThree account is connected with HubSpot. If you haven't done this yet, you can follow this tutorial to complete the integration.
Step 2: Create a New Workflow
- Create a New Workflow:
- Open HubSpot and go to Workflows.
- Click on Create workflow and select From scratch.
- Choose Workflow Type:
- Select Contact-based and click Next.
Step 3: Set Up the Enrollment Trigger
- Choose Trigger Type:
- Under Trigger enrollment for contacts, select When an event occurs.
- Add Event Criteria:
- Select Form submission.
- Click Add criteria.
- Choose Form name, search for the form you want to use, and click Save.
Step 4: Register Contacts for the Webinar
- Add Webinar Registration Action:
- In the workflow editor, click the + icon.
- Select TwentyThree from the available integrations.
- Choose Sign up to webinar.
- Select the Webinar:
- From the dropdown, select the webinar you want to enroll participants in.
Step 5: Review and Publish
- Review Workflow:
- Double-check your setup to ensure everything is correct.
- Publish the Workflow:
- Click Review and publish.
Once the workflow is published, any user who submits the selected HubSpot form will automatically be registered for your webinar in TwentyThree. This setup helps streamline your registration process while keeping everything centralized in HubSpot.
Now you're ready to promote your webinar with HubSpot forms while leveraging TwentyThree's webinar capabilities efficiently.
IMPORTANT NOTE: When doing this registrants will still receive emails from TwentyThree - if you prefer using HubSpot for webinar emails, you will need to disable emails for the webinar in TwentyThree. Ideally you should keep the last reminder email active, so registrants will receive an email with a link to the webinar as that includes a payload which avoids the registrants having to sign up again.
